Reservation Information for Yachtsman Owners

RESERVATION AND SCHEDULING
As an owner at the Yachtsman Resort, you have purchased a floating week during either the "Red", "White", or "Blue" season. To see what weeks are included in your season next year for a Yachtsman vacation, please look at the interval calendar on the Reservation Request Card.

When you fill out the card, be careful to request only weeks that are shown on your season's calendar. We guarantee that you will be assigned a week in the season and the type of unit you purchased. Because of the Yachtsman's "floating week" system, and because we want to be fair to all owners (see Section 2, "Fairness System"). We cannot guarantee that you will receive any specific week, specific building (North or South) or specific unit number when reservations are assigned. If you have a compelling reason for such a request - such as handicapped access, fear of heights or any other medical necessity - please tell us so on the "Comments or Special Needs" section of the Reservation Request Card, and we will do our best to accommodate you.

Request Your Reservation On Time, In Writing
To reserve a vacation week, each interval owner is required to notify the Yachtsman in writing of the week(s) he or she wishes to reserve each year. Every year, the Yachtsman provides a Reservation Request Card to aid you in making your reservation for the following year. To have the best chance of receiving your requested week, you must return your card to us by the Return Date printed on it.

Only requests received at the Yachtsman by the Return Date will get first consideration when reservations are assigned. Requests received later for that season will be assigned whatever weeks are left over. We recommend that you fill out and return the Reservation and Request Card immediately. That way, you will be assured the full benefits of our new reservation system and avoid needless disappointment.

No requests will be taken by telephone. The Interval Owners Association will not pay the cost of telephone calls for this purpose.

Fairness System
All resorts have "high" and "low" seasons, times of year when their facilities are in great demand and other times when fewer people go there. The Yachtsman's management knows which weeks are the most often requested every year. (For example, the week that includes July 4th always tops the list.) Every owner has equal rights to use the Yachtsman in the season he or she has purchased (Red, White, or Blue). But requests for the "over-requested" weeks always exceed the number of units available.

The system of "fairness points" helps us determine which owner should receive their first choice when reservations are being assigned. The first year, to get the system started, we granted every owner in good standing a "starting account" of 100 points. Each new owner will be granted 100 points. (Deed transfers below fair value do not apply. Transfers will inherit the existing points for that account. Contact a staff member if you have any questions.) Every year after, each owner will be granted 50 additional points. When an owner gets a confirmed reservation for a week at the Yachtsman, points are deducted from his or her total - more points if the week was an over-requested one; fewer points if the week was not in such great demand. (To see how many "fairness points" each week in your season is worth, look at the calendar attached to your Reservation Request Card. Each year, on the Return Date of your season, our reservation staff will arrange all the requests in order of the owners' current point totals. The owners with the most fairness points will have their requests filled first.

For example: If you have a high point total, it means that you've been using the Yachtsman during under-requested weeks, and now you deserve to be "near the front of the line" when the most popular weeks are being assigned. On the other hand, if your points are running low, it means that you have been fortunate enough to use the Yachtsman during some of its most in-demand weeks.

Remember:
Assessment of fairness points is based on the week you actually are assigned, not on the weeks you request. If you cancel a reservation in time for our Reservation Department to reassign the week, you will not be charged for it. If you later reserve another week, you will be charged fairness points for that week.

How To Get The Week You Want
#1 Get the Request Card to us on time. To be considered for the most in-demand weeks, your request must reach us, in writing, before the Return Date. Even owners with high fairness points can't be considered if their requests arrive late. Just so you don't forget and miss the date, we suggest you fill out the card and mail it right now.

#2 Avoid the over-requested weeks. Around July 4, for example, about three times as many owners want to come to the Yachtsman as we have units available. But Myrtle Beach is beautiful throughout your season. So be creative - try a new vacation time if you can. Then, after a couple of years, if you want to come during a highly requested week, you may have accumulated enough "fairness points" to put you first in line for that week.

#3 Provide a range of weeks. Be flexible about the time you request. Make at least one of your choices a range of weeks for each "Fairness Rating". For instance, if you can vacation any time during the summer when schools are closed, make your range choice go from week 25 through 32. Your flexibility will greatly enhance your chances of getting a week you select. This flexibility allows the Reservation Department to meet the needs of as many owners as possible.

Reservation Request Card - Fill Out and Return Immediately
To assign you a high-demand week, we must receive a completely filled-out Reservation Request Card from you, on or before the Return Date printed on the card. If the card is not filled out completely, according to the rules below, we may have to return it to you for completion, or assign you a week you didn't choose. The request form includes the tear-off card, complete instruction to fill out the card, and a calendar of your seasons (Red, White or Blue) that will help you select your first-choice week and your backup choices.

For each week that you own, you are required to choose six possible weeks or ranges of weeks, ranking them in order of preference. Put your first choice in blank number 1, and so on through your 6th and last choice. On the calendar note that each week is designated with "O" (Over-Demand), "M" (Moderate Demand), "U" (Under-Demand). You may choose any weeks you want as long as one of your selections has a fairness rating of "U" and one of your selections has a rating of "M".

Please note: By making some of your choices a range of weeks, you greatly enhance your chances of getting a week you selected. To indicate that you could vacation any week between Weeks 13 and 19, for example, mark "13-19" as your choice. You can specify a range for as many of your choices as you wish. In the Fairness Rating box, write as many letters as apply to your range of weeks.

Be sure to make all six selections - Our Reservation Department will never assign you one of your low-choice weeks if a higher-choice week is available, when it's your turn. If your request does not follow the procedure above, it may delay the process of assigning you a week and cause you to miss out on getting a week of your choice.

This procedure should assure that virtually all owners who send back their Reservation Request Cards by the Return date will receive a week they've requested. Many owners will receive their first or second choice under this system. In the unlikely event that none of your choices is available, the Reservation Department will choose as week for you as close as possible to the dates you selected, starting with your first choice.

Please check the appropriate box on the Reservation Request Card to indicate whether you plan to USE your week in person, EXCHANGE it, or RENT it. This advance information helps us manage the Yachtsman efficiently, and it allows us time to find a renter and manage the "bulk
bank" program for you (except for completed exchange). You can change your mind later, of course - up to 30 days before your arrival date. If you do, be sure to call the Reservations Department and tell them of your change in plans.

If you checked "EXCHANGE"....
Thanks to the Yachtsman's new Pre-Banking service, a number of weeks throughout your season have already been "Bulk-banked" in the RCI SPACEBANK to make them especially attractive for exchanges. When you check the "Exchange" box on the Request Card, you are automatically in the pool to receive one of these valuable weeks. The supply of Pre-banked weeks is limited, and only owners who return their Request Cards by the Return Date have the best chance of getting one. For more information about how you can maximize your trading power by use of a Pre-banked week, see the section below titled "Exchanging your Unit."

Consecutive Weeks
If you own more than one week, you can ask to have them scheduled consecutively. Please mail to us, in one envelope, all the Reservation Request Cards for the weeks you want linked - two cards for two weeks, three for three, and so on. On one of the cards, check the "Consecutive Weeks" box and indicate how many weeks you are requesting, then fill out blanks 1 through 6. Your requests may overlap each other - for example, if you request three consecutive weeks and write "21-23" in blank 1, you may also write "22-24" in one of the other blanks. Since we cannot assign you weeks outside the season you purchased (Red, White, or Blue), please take care that all of your consecutive weeks occur within your season.

Confirmations/Additional Forms
Within 60 days after the Return Date, the Reservations Department will send you a Confirmation showing which week you have been assigned.

If you checked "Exchange," please refer to section on Exchanging Your Unit.

If you checked "Rent," you will receive a Rental Contract from the Yachtsman in a separate mailing.

Cancellations
You may cancel your confirmed reservation at any time, up to 45 days before the date of your scheduled arrival. However, there is no guarantee that you may schedule another week in the same calendar year. Whether you use your week or not, you must fulfill your legal obligation to your fellow interval owners by paying your Association Fees.

IMPORTANT: WEEKS DO NOT ACCRUE FROM
ONE CALENDAR YEAR TO THE NEXT

Therefore, if you are not assigned your week this year, you have lost it forever. There is no way for you to reserve a second week next year to make up for one you didn't use this year. If you hold a confirmed reservation and do not show up, that week is lost forever. If you wish to come on a different week from the one assigned to you, you must either exchange your week through RCI & II or cancel that reservation and ask to reserve another week in this calendar year. (We will try to find you one, but success cannot be guaranteed.) For your own sake, make every effort to use your week, either for your own vacation or for exchange or for rental. The Yachtsman staff is ready to help.

Fees
Of course, only owners in good standing may reserve units and occupy them. "In good standing" means that you have fulfilled all your legal obligations to your fellow owners, including paying all Association Fees and Special Assessments for the current year and the previous years since you became an owner. If you have any questions about these fees and whether you have paid them, call the Yachtsman Association Fees Department at 1-843-448-2214.

Owners are responsible for paying phone charges and damages incurred during their interval week either by themselves or guests. If not paid, the charges will be billed to the owner. The owner will be charged a $5.00 service charge in addition to the amount owed. If unpaid, the owner will forfeit scheduling and using their interval.

Please note if you lose a key you will be charged $30.00 to change the locks and furnish new keys. This also applies if you check out and do not return the number of keys given to you at check-in, i.e., if you pay for a 3rd key and only return 2 to the front desk.

Important notice for owners who are exchanging their week: Please note that RCI & II control the occupancy of your unit once the week is deposited into the RCI SPACEBANK. Therefore, the Yachtsman Board of Directors requires that you pre-pay the coming year's Association fee before you can spacebank your week with RCI. Since the Association fee has not yet been determined for the upcoming year, you will need to pay an "estimated fee" equal to the current year's fee. Any adjustments that the Board makes in fees for the coming year will be billed to you at the normal billing time. (See Exchanging Your Unit.)

Occupancy
The maximum number of persons who may occupy a unit is determined by the number of beds in that unit. The chart below shows the highest number of occupants permitted in each type of unit. In some cases, a unit offered for exchange is permitted fewer occupants than the same unit when it is occupied by a Yachtsman owner, so be sure you are reading the correct column of the chart. (See "Exchanging Your Unit."

You may not exceed the maximum occupancy of your unit. Owners who allow too many people to occupy their unit are threatening the safety of their guests and other occupants of the resort, and overburdening the facilities available to all owners and guests. Violators will be asked to remedy the situation immediately.

Do you plan for someone other than yourself to use your week? It is your responsibility, as the owner, to tell the Reservations Department so in writing, before the week begins. For your protection, we cannot permit other persons to use your interval week without written authorization from you.

The unit cannot be registered to anyone under the age of 19. All other members of the traveling party must also be 19 years or age or older, unless accompanied by a parent or guardian. Each person from 19 to 21 years of age will be required to pay a $200 security deposit. The Board Of Directors has found it necessary to establish this rule in order to pay for any property damage that sometimes occurs when young people "party." It is your property - help us protect it! All other guests must present a security deposit of $100. The deposit will be collected at check-in and will be refunded according to our standard policy.
NO PETS ALLOWED!

Advance notification to the Reservations Department will assure that your renter or guest can check in at the Yachtsman without a problem.

EXCHANGING YOUR UNIT
"Pre-Banking" - A new exchange service for Yachtsman Owners
RCI has told us that the earlier a week is "spacebanked" - listed with RCI for exchange - the more the "Trading Power" and the better are the chances for a successful exchange. To give Yachtsman owners a head start on this process, the Yachtsman has already "bulk-banked" weeks throughout the year with RCI. Because these weeks have been bulk-banked with RCI up to two years in advance, their Trading Power is higher than that of a week that is banked after you receive your confirmation, only three to five months before the beginning of your season.

If you're sure you want to exchange your week in the coming year, check the "Exchange" box on the Reservation Request Card. The Reservations Department will do its best to assign you a Pre-Banked exchange week on or near one of the six weeks you have selected on the Request Card. Pre-Banked intervals are not available every week of the year and supply is limited. Only owners who get their Reservation Request Cards in by the Return Date will have the best chance of getting a Pre-Banked Week.
IMPORTANT NOTE: At present we do not Pre-Bank units with Interval International (II).

How to Exchange Your Unit
If you wish to make an exchange with Resort Condominiums International (RCI) or Interval International (II), you simply need to:
1. Pay your Estimated Association Fee. To find out the amount of your fee, call the Yachtsman at 1-843-448-2214 and ask for Association Fees. They will tell you what the estimated fee is for your unit type.

2. Fill out your Reservation Request Card, checking the box marked "Exchange" for the company you are using and send the card to the Yachtsman as soon as possible.

Remember: Once you've checked "Exchange," if available, the Yachtsman will deposit a Pre-Banked week in your name with RCI. This provides you with a week with a higher trading power, but once the deposit has been completed, you can't change your mind later because a Pre-banked week deposited in your name becomes final.

If the Reservations Department was able to assign you a Pre-Banked week, you will receive a verification of that fact from us. Your unit has now been deposited with RCI and the deposit part of the exchange is complete. Should you require additional information regarding your exchange, please contact RCI directly.

IMPORTANT NOTE: If we were unable to assign you a Pre-Banked week, you will receive a confirmation of the week available to you for exchange. Call the Yachtsman Reservations Department and they will provide you with the additional information that RCI requires for spacebanking your unit. You will be responsible for banking this week with RCI. All bankings with II must be done by the owner.

Prerequisites For Exchange
To make an exchange through RCI or II, you must meet the following conditions:
1. You must be a current member of RCI or II with all dues and fees paid.

2. You must abide by RCI's & II's rules. RCI & II are separate companies and are not affiliated with the Yachtsman. RCI & II set their own maximum occupancy for your type of unit - see columns in the Maximum Occupancy chart on page 6. The RCI & II maximum occupancy may be less than the maximum number of Yachtsman permits to stay in the units. Be careful not to confuse your Yachtsman maximum with the RCI & II maximums.

3. You must have prepaid your Estimated Association Fees for the interval week you are banking with RCI or II.

4. You must be a Yachtsman owner in good standing with all current and prior Association Fees and Special Assessments paid.

Yachtsman Internal Exchange (SWAP)
Available to all owners who desire to swap their week through our own reservations department. This is available only in your own color season. There is no guarantee especially if you are trying to swap into the high demand weeks of each color time. The charge for a successful internal swap is $50.00.

As an owner at the Yachtsman, you have many options once you have reserved your week. You may use it yourself, let a family member or friend use it, exchange it, or rent it. If you choose to rent it, you will be sent a Rental Agreement.

How To Rent Your Unit
1. If you choose to put your unit up for rent, check the "Rent" box on the Reservation Request Card. Note: Checking Rent will not increase or decrease your chances of getting a requested week.

2. You will receive a confirmation along with information on our rental program. There is a small $20 processing fee to defray administrative and mailing costs to your association. Simply return the enclosed form with the fee to receive a rental contract. As soon as we receive your contract we will make your unit available for rental. Units are rented starting with the earliest contract received in our office.

3. If you decide to rent after having already received your Confirmation, please call or write the Reservations Department and ask for a rental contract.

4. Have you arranged, on your own, for someone other than yourself to use your week? It is your responsibility, as the owner, to tell the Reservation Department so in writing, before the week begins. For your protection, we cannot permit others to use your interval week without written authorization from you. It is your property - help us protect it! Advance notification to the Reservations Department will assure that your renter or guest can check in at the Yachtsman without a problem.

5. The unit cannot be registered to anyone under the age of 19. If the persons using your unit do not include an adult over the age of 21, a $200 security deposit per person will be assessed at check-in. The Board of Directors has found it necessary to establish this rule in order to pay for any property damage that sometimes occurs when young people "party." All other guests must present a security deposit of $100.

OWNERS USE OF UNRESERVED WEEKS
The Board of Directors of the Interval Owners Association have asked the management company to make unreserved weeks available to owners in good standing for their use. Owners are entitled to rent these weeks at a daily rate equal to 1/7 of the Association Fee. A one-time maid service charge is applied to a stay shorter than once week.

Reservations for these unreserved weeks are made by calling the Reservations Department, who will assign them through normal rental process, on a first-come, first-serve, space-available basis. In order to keep enough weeks available for owners who need to reschedule their intervals, the Reservations Department will not rent any unit earlier than 21 days before the arrival date. Therefore, to find out whether there are unreserved weeks available for Owners Use of Unreserved Weeks, you must wait to call until 21 days or less before your desired date. Minimum night stay and surcharges may apply.

Only Yachtsman owners of record are given the special pro-rated Association Fee rate (1/7 of the Association Fee per night). Please note: The revenue collected from these rentals helps defray the cost of operating the Interval Owners Association and contributes to lower fees.

REMINDER
Check-in time is 3:00 p.m. and check-out time is 10:00 a.m.

In the past, we have tried to accommodate our owners checking in early. We now have owners demanding check-in at 7:00 a.m. Many owners are also requesting certain floors or specific rooms and arriving for an early check-in. We may have an open unit to put an owner in, but if they want a specific room and it is not clean, then our front desk has to get the housekeepers to stop what they are doing and go clean a new room. It creates an uncomfortable situation for all the owners and the staff. More importantly, the quality of maintenance and cleanliness delivered for that unit is compromised.

We will continue to do our best to accommodate, but we ask that owners give us a reasonable chance to do so. Please wait until after you check in to buy groceries that could spoil in the heat, or make arrangements for your own cooling devices.
